Interview "Cancellation Reason" Dropdown

You can now record the InterviewClosed The third Stage of Job application flow. This is when the recruiter sets up a job interview between Candidate and Client. Cancellation Reason when canceling an Interview from the View Schedule modal. With this new option configured, you can enter the cancellation reason by following these steps:

  1. Click the Cancel Schedules button.
  2. The Are you sure you want to cancel? modal appears with the Cancellation Reason dropdown.

Configuration Steps

  1. Assign ATS v2 or System Admin Permission Set to relevant users.
  2. Navigate to Setup > Object Manager > SendoutClosed A Client Submission (Sendouts, CV Sent) occurs when a recruiter sends a candidate to the hiring manager for approval to have an interview. Schedule V2.
  3. Add picklist values to the field Cancellation_Reason on Send_Out_Schedule_V2 object if desired.
  4. Navigate to Setup > Custom Settings > ATS Configuration Settings.
  5. Enable the Set Interview Cancellation Reason checkbox.

New Cancel Interview Setting

Previously, when an Interview was cancelled the word "Cancelled" was automatically added to the Subject Line on the Activity record. You now have the option of deleting the Activity record instead of marking it as Cancelled.

The out of the box configuration remains that the Activity is marked as "Cancelled" instead of deleted. See the configuration steps below to automatically delete activity records related to cancelled interviews.

Configuration Steps

This logic only applies to Interviews that have a future date at the time of cancelling.

  1. Navigate to Custom Settings > ATS Configuration Settings.
  2. Check the Delete Cancelled Interview Activity checkbox.

Option to Send a Single Email for a Mass Rejection

You can now send a single email for a mass rejection when multiple records are selected.

If one ApplicationClosed First stage of Job placement flow (Application> Submittal>Interview>Offer> Placement) is selected, the modal displays a single Send Email button for the Application. If two or more Applications are selected, one Send Email button will now be displayed at the top of the list.

For the Only Reject or Only Unreject actions, only one email is sent to the CandidateClosed A person looking for a job. A candidate can also be referred to as a Job Seeker, Applicant, or Provider.. If a candidate is rejected and unrejected in one action, two email modals will be opened: one for the Reject action and one for the Unreject action.

Configuration Steps

  1. Navigate to Setup > Custom Settings > ATS Configuration Settings.
  2. Check the Enable send email mode on Candidate ATS checkbox.

Registration Interview: Default Values for Type and Duration

You now have the option of adding a Registration Interview form on Contact records. This page leverages the 2020 Email Editor and has the same layout of ATS v2 Internal Interview forms.

There are two new settings for admins to configure a default Registration Interview Duration (in minutes) and a default Registration Interview Type.

Configuration Steps

  1. Go to Setup > Custom Settings > ATS Configuration Settings.
  2. Find the Registration Interview Duration Default field and enter a default Registration Interview Duration (in minutes).
  3. Find the Registration Interview Type Default field and enter one of the values configured for the TR1__Type__c picklist (Send OutClosed The third Stage of Job application flow. This is when the recruiter sets up a job interview between Candidate and Client. V2 object, Internal interview record type).

Reject / Unreject Modal: "Copy To All" Button

The Copy To All button has been added to the Reject / Unreject modal. This allows you to select multiple applications in the Candidate ATS and reject all in one transaction. You can enter different Rejection Notes for each application and the Copy To All button will copy the value from the first shown record onto all the other records selected.

Call Lists

Bulk Mode Supported for "New Application" Action from Call List Members

You can now automatically switch to Bulk ActionClosed An action that is performed for a large volume of data (for example, an email sent after selecting a large number of Candidates) mode when a New Application action involving multiple candidatesClosed A person looking for a job. A candidate can also be referred to as a Job Seeker, Applicant, or Provider. is triggered from a Call List. The system will automatically switch to Bulk ActionClosed When used in ATS or Search and Match UI, one of multiple actions available after user has selected a sub-set of Candidates mode above a certain threshold that is configured at the Org level.

Configuration Steps

  1. Go to the Bulk Action Definition records tab.
  2. Create a new record with the following information:

Call List Members Related List: Option to Disable "Select All Call List Members"

Previously, when you use the following action buttons from a Call List Members Related List, all Call List Members are selected by default (unless user manually makes a selection):

You now have the option of disabling the Select All logic at the Org level. If this is configured, users clicking on one of those buttons without making any selection will receive an error.

Configuration Steps

It is possible to disable the Select All logic selectively or on all the action buttons listed above.

Navigate to Setup > Custom Settings > Talent Rover Properties to disable any of the following action buttons:

  • Disable Select All for Add to Long List
  • Disable Select All for Send Email
  • Disable Select All for New Application
  • Disable Select All for Mass Placement

Candidate Marketed Related List

Candidate data is now captured when a Candidate is marketed to a ClientClosed A Company is the organization where the contact works. This can also be called the Client. using Candidate Marketing emailing. The following data can be displayed on Call ListsClosed A Mass Mailing tool that's used to mass mail a list of candidates or clients or Candidate records:

  • Which Candidate was submitted to the Client.
  • Which Client the Candidate was submitted to.
  • Which attachment was sent.

Configuration Steps

  1. Go to Setup > Custom Settings > Talent Rover Properties.
  2. Enable the Create Candidates Marketed Records checkbox.
  3. Assign Email Editor UserClosed In Salesforce terminology, this is anybody that has login access to an instance. In BH4SF instances, usually the staff of recruiting companies permission set to relevant users.
  4. Add Candidates Marketed Related List to Call List record detail with the fields you want displayed.
  5. Add Candidates Marketed Related List to Contact (Candidate) record detail with the fields you want displayed.
  6. If access is required, also create a tab for the Candidates Marketed object and add relevant fields to the page layout.

Prevent Duplication of Call List Name When Creating a New Call List from "Add To Call" List Modal

If users try to create a new Call List from the Add To Call List modal using an existing Call List name, a validation error is now displayed and the action stopped.

No configuration required.

Status Field Added to Call Lists

The Status field is now an available picklist for the Call List object. There is no logic or automation attached to this field. It has the following values out of the box:

  • Active (default)
  • Inactive
  • Archived

Configuration Steps

  1. Navigate to Setup > Object Manager > Call Lists > Page Layout.
  2. Add the Status field to the page layout.
  3. Ensure that the relevant users are added to the Permission Set Call_Lists_User.

Control if Closing Report is Counted Towards a Job’s "Number of Openings"

The new field Custom Auto Job Close is available in the TalentRover Properties Custom Setting. This field should contain the APIClosed API, or Application Programming Interface, is used by customers to create custom career portals or to take advantage of Data Mirror/DataMart. Bullhorn prefers to use REST API. name of a checkbox field from the Closing ReportClosed Fifth Stage of Job placement flow, a Candidate that reaches the Closing Report Placement stage has been assigned to a job. In BH4SF, a 'Closing Report' is a record that captures all the information related to the newly filled position (name of Candidate, position, salary, start date, which recruiter gets credit for the hire etc.) object which is used to calculate the Number of Openings for a Job.

Configuration Steps

  1. Create a new checkbox field on the Closing Report object. When this field is checked, the record is counted against Number of Openings.
  2. Enter the API name of the Closing Report checkbox in Custom Auto Job Close field on TalentRover Properties Custom Setting.
  3. Uncheck the Disable Auto Job Close field on TalentRover Properties Custom Setting.

Core Package Update: Salesforce "Enhanced Domain" Enforcement

Previously, when Enhanced Domains was enabled in a BH4SF Org, the URL on Visualforce pages had to be updated in Remote Site Settings.

The managed package has been updated to automatically identify Visualforce pages, regardless if Enhanced Domains is enabled or not. Visualforce page URLs no longer have to be updated manually.

Daxtra Search & Match: New "Advanced Search" Column

A new Advanced Search column is now available in the Previous Search tab on the DaxtraClosed A BH4SF partner. One of the Search and Match / Resume Parsing services providers integrated with BH4SF Search & Match page. This column shows what filters were used in previous searches in the Advanced Search section.

Global Aura Component for Contacts

A new component is available for ContactsClosed A contact (or client contact) is the person who the recruiter is working with at a Company. In Talent Rover a Contact can be either a Client Contact or a Candidate Contact. Both types of Contacts are stored in the same object (Contact). actions from custom flexi pages and Aura components. These actions include Add to Call List, Add to Long List and Add to Job.

Power Notes: "Event" Activity Type Now Supported

The EventClosed A Salesforce term used to describe an activity that involves invitations being sent out and calendar appointments being made. activity type is now supported in Power Notes.

Configuration Steps

Initial Steps:

  1. Add new Subject value (ex. Event) to the Event Subject field.
    1. If a value for Event Record Type doesn't exist on Power Notes Subject object Activity Record Type field, add it manually: Power_Notes_Event.
  2. Set up power notes, and create a new Power Notes Subject record for Event:
    • Subject: Event
    • Active: True
    • Fieldset Name: TR1__Power_Notes_Event
    • Object API Name: Event
    • Activity Record Type: Power Notes Event

ATS Configuration Steps:

  1. Create a component to call the logic from ATS as described for Power Notes.
  2. An additional parameter hideSubject defines whether the Subject list should be displayed or not. In the second case, the Subject field should be prepopulated.
  3. Create a metadata record on ATS Job Custom Action CMT. Component Name field should contain component name: logEventPowerNote (or TR1:logEventPowerNote for sandboxClosed Non Production Environments are used by customers to test new features prior to them going live. / scratch).

Power Notes: Subject Enhancements

There are two minor enhancements to the Power Notes feature in this release:

  • New picklist field Icon name on the Power Notes Subject object.
  • Ability to hide the Power Note Subject when launching a power note through a custom action button.
    • Extra configuration is required for the action buttons. Contact Bullhorn for Salesforce Support for details.

While creating the Power Note Subject record, the user should choose an icon name from the picklist. If no value is selected, standard:task will be used by default.

Resume Parse Mapping: Conditional Override

In the Bullhorn for Salesforce managed package we have a Custom Metadata Type called Candidate Mappings that maps the data from a resume into a chosen Salesforce field. For each of the mapped nodes, up to this release admins could choose one of three behaviors:

  • Merge: Add the new value to the existing one (only applies to multi-select picklists).
  • Do nothing: Do not update the field.
  • Override: Replace existing value with new value.

Previously, if the Override value was chosen, data in the resume always took precedence, even in the case where there is no data. This caused Candidate fields to be updated to blank.

You now have the option of overriding what’s in the Candidate field only if the resume contains data for that node / field.

Configuration Steps

  1. Go to Setup > Custom Settings > Talent Rover Properties.
  2. Ensure Enable_New_Architecture__c is True.
  3. Go to Setup > Custom Metadata Types > Candidate Mapping.
  4. Select the value Conditional Override in the Action picklist for the relevant fields.
