Configuring Goals and Quotas

This article describes how to configure goals and quotas. Looking for how to Understand Goals and Quotas?

Bullhorn's Goals and Quotas feature allows setting up sales quota or activity based performance goals for your users. Review your user's performance from the Goals and Quotas List or dashboard cards.

Access the Goals and Quotas list from the Bullhorn Menu. The ability to restrict configuring, adding, editing, and deleting goals and quotas is possible either per user or per department. Contact Bullhorn Support to implement the restrictions or to add the list to your menu.

Understanding Goals

Goals are used to track actions taken within Bullhorn such as adding specific notes or appointment types, or recruiting activity such as scheduling an interview or adding a candidate. Goals are configurable for a weekly or monthly basis.

Standard Goals

Bullhorn offers preset recruiting goals such as number of candidates added. To track a goal that isn't listed as a preset goal, set custom goals by using notes or appointments of a specific type. Refer to Custom Goals for more information.

  • Candidates Added- Counts for the owner of the candidate, regardless of who originally added the candidate.
  • Client Submissions Added- Counts for the user who creates the client submission, regardless of the candidate or submission owner.
  • Jobs Added- Counts for the owner of the job, regardless of who originally added the job.
  • Placements Added- Counts for the owner of the job associated with the placement, regardless of who added the placement.

Note:

This also counts as a placement for the user referenced in the job's Assignment field for the associated placement as well as the job owner.

  • Submissions Added- Counts for the user specified in the submission's Added By field, regardless of who submitted the candidate.

Custom Goals

Custom Goals count as a note or appointment by the user if they are the specified owner of that note or appointment type regardless of who owned the appointment originally.

On the Goals & Quotas list view, click the Settings button.

Select the Activity Goals section.

In the Goals field, enter a name for the goal.

  • Example: Interviews, Client Visits.

From the Note Type(s) / Appointment Type(s) drop-down, select up to five note and/or appointment type(s) corresponding to this goal.

Note: If you attempt to save the activity goals configuration page without entering a name for a goal and/or without selecting at least one note or appointment type for the goal, an error message displays. Also, note that a maximum of 5 note and/or appointment types are available when setting up a new goal.

If necessary, repeat steps 3 and 4 to create other goals.

Click Save.


Adding a Goal for a User

  1. On the Goals & Quotas list view, if necessary, click theGoalsbutton to view the Goals list.
  2. Click the+Add Goalbutton.
  3. Select eitherWeeklyorMonthly. Note that this goal automatically recurs each time period until deleted or modified.
  4. From theActivitydrop-down, select the activity to measure.
  5. From theUserpicker, search for / select the applicable user.
  6. In theGoalfield, type the number of records or actions to aim to achieve for the time period.
  7. If necessary, repeat steps 4-6 for additional users.
  8. ClickSave.

Deleting a Goal

  1. Select the check boxes next to goals to delete.
  2. From theSelecteddrop down, chooseMass Delete.

Note: A maximum of 50 goals can be deleted at one time.


Understanding Quotas

Quotas track revenue generated from closing opportunities in the CRM. Determine which workflow stages count as revenue generation for Bullhorn to calculate progress against quotas.

To Configure Workflow Stages

  1. On the Goals & Quotas list view, click theSettingsbutton.
  2. Select theSales Quotassection.
  3. From theSales Revenuedrop-down, select the opportunity statuses to count as revenue.
  4. ClickSave.

Notes:

  • Quotas are associated with the opportunity entity and are quarterly.
  • Only a closed opportunity's deal value counts towards the user's goal.
  • For an opportunity’s dollar amount to count as revenue, the Actual Close Date field must be populated.


To add a quota for a user

  1. On the Goals & Quotas list view, if necessary, click theQuotasbutton to view the Quotas list.
  2. Click the+Add Quotabutton.
  3. From theQuarterdrop-down, select the quarter to add the quota (Q1, Q2, Q3,orQ4).
  4. From theYeardrop-down, select the year to add the quota.
  5. From theUserpicker(s), search for / select the applicable user.
  6. In theQuotafields, enter the monetary amount for each user.
  7. ClickSave.
