Billable Charges Automation Best Practice and FAQ

Placements

The Add Billable Charge step is available exclusively for Bullhorn Time & Expense (BTE) customers. This feature is not enabled by default and must be requested through Bullhorn Automation Support. It works within candidate-based placement automations and allows for precise, streamlined billing processes by automatically creating charges based on specified parameters.

To use this step effectively:

  • Ensure the step is enabled for your account.
  • Verify the automation meets the placement and candidate-based criteria.
  • Follow best practices to avoid errors in the process.

Best Practices

To ensure smooth operation of the Add Billable Charge step, adhere to the following recommendations:

  • Validate Placement Records: The merge token parameters used in the Add Billable Charge step do not verify whether the fields within the Placement record contain values. For example, if a Placement lacks a Period End Date, the step will still process the record, which may cause errors in creating the billable charge.

  • Use Branching Logic: Incorporate branching logic in your automation to validate Placement records before they pass through the Add Billable Charge step. This helps ensure all required fields are populated and reduces the likelihood of errors.
