Select All Options for Streamlined Email Selection

To simplify group email selection and reduce errors, we’ve made it easier to contact the right email address for contactsClosed A contact (or client contact) is the person who the recruiter is working with at a Company. In Talent Rover a Contact can be either a Client Contact or a Candidate Contact. Both types of Contacts are stored in the same object (Contact). selected in a group email. New top level selection buttons have been implemented to easily select alternative email addresses.

How It Works

  1. When an org chooses to show more than one email address per recipient on the 2020 Email Editor, they will automatically see the new radio buttons to be used as a select all per recipient field (To, CC , BCC get their own select all per email being sent).

  2. When adding a recipient to the list the selected “select all radio” option will be used to set the email address, if the selected field has no value for that recipient it will take the left most email address that has a value.

  3. When changing the default “select all radio” value manually all recipients will use the selected field value unless they have no email in the selected field, in which case they will not change value.

  4. When manually changing the selected field for a single recipient, that recipient will use the chosen email field even if it is different from the selected “select all radio”, until a manual change is done to the “select all radio”.

 

To select a work email address for all the recipients, users can simply select the top level Work Email button to set this as the preference for all contacts in the action.

Note: In most cases, the view will default to Email on load. This can be changed as needed.

Setup

Automatic Enablement

This feature will automatically enable whenever an org has one or more email fields configured in Alternative Contact Email Fields. To find this setting, navigate to the following:

  1. Go to Setup > Custom Code > Custom Settings.
  2. Next to Email Editor Settings, click Manage.
  3. In the Email Editor Settings window, click Edit.
Outcome: You have located the Alternative Contact Email Fields field. Utilizing this field will automatically enable the different radio button selections for this new feature.

Default Email Field Customization & Override

Initially the select all radio button will be set to the default email field, in most cases this is the Email radio button, but it can be configured.

Customization

When emailing from a Standard Call List is configured in custom setting TalentRover Properties.

  1. Go to Setup > Custom Code > Custom Settings.
  2. Next to TalentRover Properties, click Manage.
  3. In the TalentRover Properties Custom Setting, click Edit
  4. In the TalentRover Properties Edit screen fill out your field according to your desired behavior:
    • Email from a Standard Call List: In the Standard Call List Email Field, enter “Email”.
    • Emailing from a Marketing Call List: In the Candidate Mktg Call List Email Field, enter “Work Email”.
  5. Click Save.
Default Email Override

The default email field can also be overridden on the Call List record level using the Call List Email Field in the desired Call List.

  1. Click the Call ListsClosed A Mass Mailing tool that's used to mass mail a list of candidates or clients tab, then select a specific call list record from the Call List Name column (EX: Alex Candidate Marketing).
  2. Click the dropdown arrow and select Edit.
  3. In the Edit Call list window, use the dropdown for Call List Email Field to select the new default email for this call list (EX: Work Email).
  4. Click Save.

Configurable Default Values for Send Email for Send Out and Internal Interviews

Administrators can now set and maintain default Send Email configurations for Internal and External Interviews, via a new Interwiewee Configuration and existing Interview Configuration Custom Metadata records:

If the Send Email Default Mode field is ticked (True)

Then the Send Email toggle will be enabled on load. Users can change this as needed if required.

Configuration

To configure default values for Send Email mode for Internal Interviews (also applies to the Group Interview and Registration Interview actions):

  • Setup > Custom Metadata > Interviewee Configuration > Manage Record > New > Interviewee Configuration Name = Internal_Interview > Send Email Default Mode = true/false.
