Onboarding365 Automation Step

Overview

Bullhorn Onboarding365 helps staffing firms scale their business and speed up time-to-revenue by streamlining the candidate onboarding process.

Bullhorn Automation allows you to automate your onboarding process by initiating your pre-defined onboarding workflow from within Onboarding365 or cancelling the process. This allows you to send candidates their onboarding documents as soon as they apply, go through screening, get hired, or any other criteria that you configure!

You must have Onboarding365 enabled and configured in your ATS prior to enabling this feature in Bullhorn Automation. Bullhorn Onboarding is a separate product from Bullhorn Onboarding365. Please reach out to Bullhorn Automation Support to have this feature enabled.

Adding the Onboarding365 Automation Step

Once this is enabled, you will see the Onboarding365 option as an available step within your automations. This step is only accessible via the following automation types:

  • Candidate-based
  • Submission-based
    • Contact Type: Candidate
    • Does not support Sales Contacts
  • Placement-based
    • Contact Type: Candidate
    • Does not support Sales Contacts

Configuring the Onboarding365 Step

Choose Onboarding Action

From the drop down, select which action should happen at this step:

  • Initiate Onboarding: Begins the Candidate/Submission/Placement onboarding process.
  • Cancel Onboarding: Cancels the Candidate/Submission/Placement onboarding process.

Reason for Cancelling

When you choose the Cancel Onboarding option, you can select a Reason for Cancelling (these are configured in Bullhorn ATS).

  • This adds a Note to the Candidate and/or Placement record in the ATS.
  • The option you select in this step will be added as the Note Comment.
  • The Note Action used will be your default Onboarding Note Action.

On Failed Request

Sometimes Onboarding requests can fail due to incorrect information on the record in Bullhorn ATS. When this happens, the record will not move through to the next step in the automation. Bullhorn Automation can send a notification to alert the relevant user of the failure. The notification will be sent every 24 hours until the error is rectified.

The error message included in notifications is sent from Onboarding365 and is not configurable by Bullhorn Automation.

Once a record passes through the Onboarding365 step in Bullhorn Automation, the following fields on the ATS record will be updated:

Can we make changes to the Bullhorn Automation Error Notification?

No, this is hard-coded, and the error message displayed is the error message supplied by Onboarding365.

Can I set the Error Notification to send to a Distribution List?

The only way to achieve this is to create an internal Bullhorn user with the distribution list email address you wish to notify. You can then select that User under Notify Specific User.

I have different onboarding packages, how can I make sure Candidates receive the right one?

We recommend using branching logic within your automations to appropriately filter your candidates using Bullhorn ATS data to ensure they are sent the correct notification package.

Can I make changes to my onboarding packages via Bullhorn Automation?

Bullhorn Automation can only be used to initiate and cancel onboarding requests.
