Understanding the Onboarding365 Step
Bullhorn Onboarding365 helps staffing firms scale their business and improve time-to-revenue by streamlining the candidate onboarding process. With Onboarding365, agencies can:
- Configure forms and workflows to meet brand-specific needs.
- Ensure compliance with Federal, State, and client requirements.
- Communicate proactively with candidates to ensure on-time starts.
Through the integration with Bullhorn ATS (Novo), recruiters can initiate or cancel onboarding documents for candidates directly in the ATS. Automation further enhances this process, allowing onboarding documents to be sent or canceled automatically based on client-configured criteria such as application, screening, or hiring stages.
You must have Onboarding365 enabled and configured in your ATS prior to enabling this feature in Bullhorn Automation. Bullhorn Onboarding is a separate product from Bullhorn Onboarding365. Please reach out to Bullhorn Automation Support to have this feature enabled.

Supported Automation Types
The "Onboarding365" Step can be found on the following Automations:
- Placement-based
- Contact Type: Candidate
- Does not support Sales Contacts
- Submission-based
- Contact Type: Candidate
- Does not support Sales Contacts
- Candidate-based
The "Onboarding365" Step supports initiation or cancellation of the Onboarding process. The
Service will initiate or cancel the Onboarding process against the Candidate or Placement records through the ATS using the Onboarding365 & ATS integration.
Notifications Options
The "Onboarding365" Step allows users to configure who they would like to notify if a Candidate Record fails to pass through the step.
- Do Not Send Notification
- Notify Owner
- Notify Specific User
Notification Logic
The notification logic works as follows:
- The service will notify the specified user on initial failure with an email that includes the error message received from the Onboarding365 request.
- The record will not process through to the next step if it fails.
- The record will be reprocessed through the existing step every time the Automation syncs.
- This will help catch any corrections that are made to the record to help clear the failure.
- If the record continues to fail, the specified user will receive a notification every 24 hours.
ATS Record Behavior
Once a Candidate passes through the "Onboarding365" Step in
, the ATS record will be updated to reflect the following Onboarding fields:- Onboarding Status
- % Complete
- Onboarding Docs Sent (Count)
- Onboarding Docs Received (Count)
