Data Capture Notification

Data Capture Notification is a feature designed to help you comply with the California Consumer Privacy Act (CCPA). It allows you to send a data capture notification email to up to 500 Candidates, Contacts, or Leads at once. The subject line and email body can be customized using System Settings.

Sending a Data Capture Notification Email

Data Capture Notification emails can be sent from list views as well as from individual Candidate, Contact, and Lead records:

In the below steps, we'll walk through the process of sending the email from a list view.

  1. From the Candidate, Contact, or Lead list view, filter for the desired records.

  2. Select the checkbox in the column header to select all records.
    • Data Capture Notification emails can be sent to up to 500 records at once.
  3. Click the blue Selected button and choose Send Data Capture Notification.
    • The email will be sent immediately.

When the email sends, a toast will appear and a note will be logged against the corresponding records with the Note Action listed in the dataCaptureNotificationNoteType System Setting. Want to know what the email looks like? Check out the FAQs below.

If you need to send the email to additional records, you can filter the list view to exclude all records that have a note with that Note Action:


Configuring the Data Capture Notification System Settings

Data Capture Notifications can be customized by administrators using the below System Settings. If you're on Team Edition, please contact Bullhorn Support with the values you would like listed in the below System Settings so we can make the adjustments for you.

  • dataCaptureNotificationNoteType - The Note Action that will be used to log a note when a data capture email is sent. The value you use here should exist in the commentActionList System Setting.
  • candidateDataCaptureNotificationEmailSubjectLine - Adjusts the subject line of the email sent to Candidates.
  • candidateDataCaptureNotificationEmailBody - Adjusts the text in the body of the email sent to Candidates.
  • contactDataCaptureNotificationEmailSubjectLine - Adjusts the subject line of the email sent to Contacts.
  • contactDataCaptureNotificationEmailBody - Adjusts the text in the body of the email sent to Contacts.
  • leadDataCaptureNotificationEmailSubjectLine - Adjusts the subject line of the email sent to Leads.
  • leadDataCaptureNotificationEmailBody - Adjusts the text in the body of the email sent to Leads.

For the above Email Subject Line and Email Body System Settings, images cannot be used but line breaks and hyperlinks can be added. For more information, check out the FAQs.

What email address is the email sent from?

The email is sent from the primary email address of the user who sends the email.

Can the email include images and/or links?

Images cannot be included but hyperlinks can be added using the following code:

  • <a href="URL" target="_blank">Link text</a>

You can replace "URL" with the desired URL and replace "Link Text" with the text you want to be hyperlinked. The "target=_blank"" attribute will make sure the link is opened in a new tab.

Can the email include line breaks?

Line breaks can be added in the email body by using <br /> tags in the System Settings.

What does the email look like?

How can I report on who I sent the email to and when?

Run the Notes Activity Report by including your desired criteria. Ensure that the Note Action field is populated with the correct Note Action.
