Managing Tearsheets

A Tearsheet (hotlist) is a static list of People records (Candidates, Contacts, Leads) that users need to manually update. Users often create these lists to keep track of candidates for a specific job.

When managing tearsheets, you can:

  • Edit and delete tearsheets you own

  • Add or remove records

  • Change tearsheet ownership

  • Manage tearsheets from a record

Admins with the Manage Tearsheets permission can also view, edit, and delete tearsheets owned by other users. See Manage Tearsheets as an Admin for details.

Edit and Delete Tearsheets

By default, only the owner of a tearsheet can edit its settings or delete it. If you’re a user with the Manage Tearsheets permission, you can edit or delete any tearsheet regardless of ownership.

  1. Go to Menu > Tearsheets.
  2. Click the Filter () icon at the top of the Name column and search for the tearsheet name.

  3. To the left of the tearsheet you wish to modify, select Actions > Edit or Delete:

    • Edit: Allows you to rename the tearsheet, add records, or change the Visibility setting:

      • Public: Visible to everyone at your company. Any user can add and remove records.

      • Private: Visible only to you. Only you can modify it.

    • Delete: Permanently deletes the tearsheet. This action cannot be undone.

Remove Records From a Tearsheet

If a tearsheet is set to Public, any user can add and remove records from it.

  1. Go to Menu > Tearsheets.

  2. Click the Filter () icon at the top of the Name column and search for the tearsheet name.

  3. Click the tearsheet name to open it and view its records.

  4. Select the records that you want to remove.

  5. Click # Selected > Remove from Tearsheet.

    Do not select Delete Record, as this will permanently delete the selected records from your database.

  6. A confirmation message appears. Click Remove to confirm.

    • This removes the selected records from the tearsheet only. The records will still exist in your ATS.

Change Tearsheet Ownership

You cannot transfer a tearsheet directly to another user, but you can copy another user’s tearsheet and make yourself the owner of the copy:

  1. Go to Menu > Tearsheets.

  2. Click the Filter () icon at the top of the Name column and search for the tearsheet name.

  3. Click the tearsheet name to open it and view its records.

  4. Select all records.

  5. Click # Selected > Add to Tearsheet.

  6. Select New Tearsheet and enter a name for the new tearsheet.

  7. Click Save.

Manage Tearsheets for a Single Record

You can add or remove a single record from a tearsheet directly from the record.

  1. Open the record.

  2. Click Actions > Manage Tearsheets.

  3. In the Manage Tearsheets window, choose one of the following:

    • Tearsheets: Add a tearsheet to the field to add the record to that tearsheet. Remove a tearsheet from the field to remove the record from that tearsheet.

    • Create New Tearsheet: Opens a new window to create a new tearsheet.

  4. Click Save.

Manage Tearsheets as an Admin

Admins with the Manage Tearsheets permission can manage tearsheets across their organization, regardless of ownership or visibility.

If you have this permission, you can:

  • View all tearsheets, including private tearsheets owned by other users

  • Edit the name, description, and record list of any tearsheet

  • Delete tearsheets owned by other users

When deleting a tearsheet owned by another user, a confirmation prompt appears to prevent accidental removal.

To access these actions:

  1. Go to Menu > Tearsheets.

  2. Click the Filter () icon at the top of the Name column and search for the tearsheet name.

  3. To the left of the tearsheet, select Actions > Edit or Delete.
