Submissions in Your Workflow
Use workflow steps to track submission activity on your records. You can display a simple submission count, or go further and track submissions by a specific status. This is useful for monitoring key stages like offers or placements.
For a full list of workflow customisation options, see Understanding Workflow System Settings.
Track All Submissions
Adding [Submission] to a workflow system setting displays an icon on your records that increments each time a submission is added.
[Submission] is available for the following entities:
- Candidates: Using the candidateWorkFlowSteps system setting.
- Companies: Using the clientCorporationWorkFlowSteps system setting.
- Contacts: Using the clientContactWorkFlowSteps system setting.
- Jobs: Using the jobPostingWorkFlowSteps system setting.
Track Submissions by Status
Adding [Submission:____] to a workflow system setting displays an icon that counts submissions in a specific status, where ____ is the submission status you want to track.
A couple of things to keep in mind:
- Don't add a space after the colon. For example, [Submission:Offer Extended] is correct; [Submission: Offer Extended] is not.
- The status you use must exist in the jobResponseStatusList system setting.
Don't use [Submission:Client Submission] in your workflow. Once a submission moves out of that status, the icon will no longer be active. For tracking client submissions, see Client Submissions in Your Workflow instead.
[Submission:____] is available for the following entities:
- Candidates: Using the candidateWorkFlowSteps system setting.
- Companies: Using the clientCorporationWorkFlowSteps system setting.
- Contacts: Using the clientContactWorkFlowSteps system setting.
- Jobs: Using the jobPostingWorkFlowSteps system setting.
Log Submission Comments as Notes
If you regularly add comments to submissions and want those comments to also create notes, enable the logJobResponseCommentsAsNote system setting under Menu > Admin > System Settings. When set to TRUE, any comments added to a submission will automatically generate a note referencing the candidate and the job.
FAQ
Why can't I change a candidate's submission status?
Changing the submission status of any candidate (not just your own) requires the Change Any Candidate Submission Status user type entitlement. Contact Bullhorn Support to enable this for your user type.
