Creating an Outlook Appointment That Syncs to Bullhorn

Learn how to create an appointment in Outlook that automatically tracks in Bullhorn, and what to check if it doesn't.

If your Outlook email is integrated with Bullhorn, you can create appointments directly in Outlook and have them track automatically as long as a few conditions are met.

Before You Begin

Your Outlook email must be integrated with Bullhorn. See Email Integration Overview and FAQ for details.

Best Practices for Syncing

To make sure your Outlook appointment syncs correctly:

  • Include at least one candidate or contact in the Required Attendees field, using the email address saved in one of their dedicated email fields on the Bullhorn record.

  • You can add colleagues too, as long as at least one candidate or contact is also invited.

  • Once created, use Outlook only to change the Start Time or Subject. Make any other changes in Bullhorn to keep both records in sync.

Appointments that include only colleagues won't track in Bullhorn.

Expected Behavior

If your Outlook appointment...

Then it...

Only invites colleagues on your email domain

Won't track in Bullhorn

Invites two or more colleagues but no candidate or contact

Won't track in Bullhorn

Invites at least one candidate or contact with an email address saved in Bullhorn

Tracks as a related appointment on that candidate's or contact's record

Invites one or more colleagues and at least one candidate or contact with an email address saved in Bullhorn

Tracks as a related appointment on that candidate's or contact's record

 

To sync successfully every time: always include a candidate or contact with a valid Bullhorn email address, use Outlook only for time and subject changes, and make every other update in Bullhorn.
