How to Use the Bullhorn Planner

The Planner is your central hub in Bullhorn for viewing, managing, and tracking all your appointments and activities. This powerful tool helps you maintain an organized schedule, ensuring you have a clear picture of all your recruitment tasks and conversations. It’s automatically available to all Bullhorn users and provides a complete view of related records, such as candidates, contacts, and jobs, right from your calendar.

Common Reasons You Might Use the Planner

The Planner is a core part of your daily workflow. Here are a few common scenarios where you would want to use the Planner.

  • You want to view all of your scheduled appointments in one place.

  • You need to get a monthly view of your calendar to plan ahead.

  • You want to locate an appointment that a teammate scheduled for you.

  • You need to troubleshoot why a new appointment isn't appearing on your calendar.

  • You want to see a list of all your scheduled interviews for the week.

  • You need to create a new appointment that is linked to a candidate or contact.

Access and Navigate the Planner

Use these steps to access your Planner and easily switch between different views, helping you find the right information at a glance.

  1. Navigate to your main menu.

  2. Select Planner to open your calendar.

By default, the Planner opens in a Monthly view. To see the appointments for a specific day, select the day on the calendar. To quickly access or edit an appointment's details, select View on the appointment itself.

You can also switch to different calendar views for a better perspective:

  • Week/Day View: These views show appointments from 7:00 AM to 7:00 PM. To see appointments outside of these hours, use the Monthly view.

  • List View: This view displays all appointments for the current week in a scrollable list. Scroll down to load future dates or scroll up to see past appointments.

Filter Your Appointments

Filtering helps you quickly find specific appointments and narrow down your calendar view. All filters are located in the top-right corner of the Planner screen.

  • Type: To view only certain kinds of appointments, select from the Type dropdown. The options here reflect your system's scheduleTypeList setting. If you need more options, contact your Bullhorn Administrator.

  • Users: This filter allows you to view appointments for specific users or entire departments (Groups). Depending on your security settings, you may only be able to see Groups you belong to. If you need to see other departments, contact your Bullhorn Administrator.

  • Month/Week/Day/List: Use these options to change how your calendar is displayed.

Add an Appointment to the Planner

You can create new appointments directly from the Planner, ensuring they are automatically visible on your calendar and linked to relevant records.

  1. From the Planner screen, select the Add button.

  2. Fill in the required appointment details.

  3. To ensure the appointment appears on the Planner, you must add an external candidate or contact to the appointment record.

  4. You also need to fill out applicable references (e.g., a candidate, contact, job, or vacancy) to link the appointment to the right records.

When you create an appointment from an email (outside of Bullhorn ATS), only the first seven attendees will appear in the Planner.
