Connecting to different Invenias Databases from one PC

Overview

This article explains the steps required to allow a User to connect to multiple Invenias databases from a single computer.

This rare situation can arise if a User happens to work for more than 1 company using Invenias at the same time, with a live Professional User account for each company. 

The solution is to create separate Outlook Profiles to associate with each Invenias Professional user account. The User can easily switch between the profiles to access the different databases.

Using multiple Outlook Profiles to connect to different databases

Microsoft Outlook allows a user to create multiple mail profiles, each profile can be associated with different email accounts, calendars etc with independent settings and configurations. Most users aren't aware of this as they tend to only use a single Profile. 

When a User completes the Invenias setup process in Outlook, Invenias registers the Professional User Account against the Outlook Profile used. You cannot easily switch between which database the Individual mail profile is with registered with quickly, Invenias recommends you associate each database with a separate profile. If you are only using a single profile currently you will need to create a new profile for each database you wish to connect to. 

Create New Outlook Profile

In this example the User only has a single Profile and is looking to add 1 more profile to allow them to switch between connecting to 2 different databases.

Open the control panel on your computer and select Mail (Microsoft Outlook):

Which opens the window shown below. Click Show Profiles:

Which opens the following window showing all Outlook Profiles on your computer. In this case we only have a single profile and need to add another by clicking the ADD button:

Which opens a wizard to allow the User to enter an email account for this profile:

Complete the steps in the wizard to add your email account to this profile. This should be the email account which matches the Invenias username used for the database you want to connect to using this profile.

When you complete the wizard you will be returned to the previous window, note the new profile has been added: 

Change the radio button (as highlighted above) to Prompt for a Profile to be Used. The next time you open Outlook, you will be prompted to select between the 2 profiles, and the 2 databases you wish to connect to. 

When you open the new profile for the first time, you will need to click into the toolbar button labelled Setup Invenias for this Outlook profile using the credentials for the new database. 

Switching between Profiles

To switch between Profiles, close Outlook, Word and IE. Re-open Outlook, select the profile you wish to connect to using the dropdown:

Note: if you do not close Word and Internet Explorer, Invenias will continue to run in the background, meaning when you switch profile you will not close Invenias completely and it will still be connecting to the database associated with the previous Outlook profile.
