Version History and Status Tracking

Overview

By default Status Tracking and Version History are not enabled. A System Administrator will need to login to System Preferences to enable this feature and it only starts tracking history once enabled.

Status Tracking is a feature which records all changes made to Record Status. For example an Assignment Record changing from Pitch to Active. These changes can then be used to track the history of a Record for reporting purposes, by referencing the time taken between the key stages.

Version History allows the user to see the history of changes in certain fields in Assignment and Programme Records including: Candidate Progress Status, Progress Notes, Fit to Profile and Internal Comments. This helps the user keep a track of all historical information, which is especially useful for management, reporting and in case data is accidentally removed.

Status Tracking

Status Tracking is a way to monitor and Record when a Record changes from one status to another. These changes can be viewed by pressing the ‘Show History & Status Changes’ button on the Journal tab of any Record with Status Tracking enabled.

In the example below, status tracking has been enabled for this Assignment Record, the user has clicked into Show History and Status Changes and the history of changes is then loaded into the view identifying all of the Progress Status Changes or all of the Candidates. If you wish, you can filter out other journal actions using the journal items dropdown to only show Version history and status changes.

Status Tracking can also be enabled on the overall Assignment Status to see when an Assignment moved from Opportunity to Active (Date Active) or Active to Completed (Date Completed) which drives some functionality in our reporting and Dashboards.

Version History

Version history automatically Records changes made to certain fields in Assignment and Programme Records. In this example we are going to look at Candidate Version History by opening an Assignment, clicking to the candidates tab, right clicking on a candidate and clicking on version history:

This screen shows you all changes made to that candidate in terms of their progression and modifications within the assignment. Examples of captured data include Progress Status changes, Progress Notes, Fit to Profile and internal comments.

Enabling Status Tracking & Version History

To enable Status Tracking and version history open System Preferences>Global Settings>Status Tracking & Version History:
