Subscriptions and Licensing

Overview

Permission Required: Please note that all actions in this article require the "User Administrator" permission. Provided you have that permission you can increase the number of seats in your account's Professional User Subscription within the Admin section of the Invenias Web App.

Every Professional User must have a license assigned to be able to log in and use any Invenias application.

We invoice for the maximum daily assigned license count each month. This number will still be subject to any contractual minimum license number that may be in place. To ensure Professional User licenses are not billed, unassign any unused licenses from your list of users. This article covers the following topics:

Adding Licenses

In order to assign a license to a new user, the Purchased License count must be greater than the Assigned count in your Subscription, indicating that there is a license available to assign.

Follow these steps to purchase a new license:

  1. Open the Web App (https://<companyname>.invenias.com) and navigate to the Admin area.
  2. Select Subscriptions from the menu.
  3. Select your current subscription form the list.
  4. Click the Add License button.
  5. Fill in the number of licenses you wish to purchase and click the OK button.
  6. Click the Save button to complete the creation of the new User.

Assigning a License to a User

Once you have created a User you will then need to assign a license to that User. To assign a license to a user:

  1. Open the Web App (https://<companyname>.invenias.com).
  2. Navigate to the Admin area.
  3. Select Users from the menu.
  4. Select a User from the grid.
  5. Check the License Assigned checkbox.

  6. If your Purchased License count means there is not currently a license available to assign, you will be prompted to add a license following the Purchasing License process.
  7. Click the Save button.

Unassigning a License

To unassign a license from a user:

  1. Open your Essentials Web App (https://<companyname>.invenias.com).
  2. Navigate to the Admin area.
  3. Select Users from the menu.
  4. Select the specific User from the grid whose license you wish to unassign.
  5. Uncheck the License Assigned checkbox.
  6. Click the Save button.

Disabling a User Account

In addition to removing a license from a User, you can also disable a User account completely by following the steps below. For Users that have left your business, we advise disabling and un-assigning their license.

  1. Open your Essentials Web App (https://<companyname>.invenias.com).
  2. Navigate to the Admin area.
  3. Select Users from the menu.
  4. Select the specific User.
  5. In the panel on the right of the screen, click Disable Account.

As a security enhancement to further protect your data, starting in December 2023, Invenias will automatically disable any User accounts that have been inactive for 90 days. This operation will run monthly at the start of each month.

Re-Enabling a Disabled User Account

Any User Administrator can re-enable a disabled user account by taking the following steps:

  1. Open your Essentials Web App (https://<companyname>.invenias.com).
  2. Navigate to the Admin area.
  3. Select Users from the menu.
  4. Select the specific User.
  5. In the panel on the right of the screen, click Enable Account.
