User Permissions
Overview
This article lists all the User Permissions with a description for each one.
If a User is logged in to Invenias and you change their permissions, they will need to shut down all MS Office applications and restart Outlook before logging back in to Invenias.
Information Security
When setting up Users with Permissions, the ability to export, print and delete or merge data pose the highest risk when it comes to information security. We've therefore underlined these permissions below.
Administration
- User Administrator: Allow Invenias users access to create new users, modify permissions, purchase licenses, change company information
Finance
Billing
- View Billing Information: Ability to view/open Billing Events tab in Assignment/Company; ability to view/open Global Billing Events list view; ability to view Billing Information tab in the Offer/Placement record
- Create Billing Events & Mark as Billed: Ability to create new billing events; ability to modify existing billing events not billed; ability to mark billing event as billed/paid
- Modify Locked Billing Events and Mark as Paid: Ability to modify billing events after they have been billed (Billing Events tab in Assignment and Milestones in Offer/Placement)
Invoicing
- View Invoicing: Ability to view/open Invoices tab in Assignment/Company; ability to view/open global invoices list view
- Create Draft Invoices: Ability to create invoice from Assignment/Company; ability to modify fields on invoice form; ability to add billing events to Invoice; ability to create billing events on invoice
- Approve/Unapprove Invoices: Ability to approve/unapprove invoices
- Generate Invoices: Ability to generate an invoice
- Send Invoices: Ability to mark invoice as sent
- Pay and Void Invoices: Ability to mark invoice as paid, and void invoices.
Team - Fee Allocation
- View Fee Allocations: Ability to view fee allocation panel in Assignment Team tab
- Modify Locked Fee Allocations: Ability to Lock / Unlock fee allocations. Without this permission the Lock / unlock button isn't visible.
Analytics
- Create Analytics Dashboards: Ability to create a new Analytics Dashboard.
Client App
- Share Assignments with Clients: Ability for an Invenias user to grant access for clients to access Invenias Client
- Select Sharing Template for Assignments: Ability to select an existing sharing template for assignments
- Edit Assignment Sharing Settings: Ability for an Invenias user to changing the sharing settings for assignments.
Candidate App
- Grant Access for Candidates: Enables an Invenias user to grant access for candidates to access Invenias Candidate
- Publish Advertisements: Allows Invenias users to publish advertisements from an Assignment. These adverts can be published to either Invenias Apply, or 3rd party providers such as Broadbean.
Feedback and Scoring
- Edit and Delete Team Feedback and Scoring: Allows Invenias users to edit and delete feedback and scoring left by other Invenias users
- Edit and Delete Client Feedback and Scoring: Allows Invenias users to edit and delete feedback and scoring left by clients in Invenias Client.
Search
- Create User Search Layouts: Allows Invenias users to use the Column Chooser in list views to modify the list view
- Create Global Search Layouts: Allows users to create a list view that all Invenias users can access.
Global
- Delete Records: Allows Invenias users to delete records such as companies, people or assignments from the system
- Merge Records: Allows Invenias users to merge together records
- Delete Journal Records: Allows Invenias users to remove journal items from records - note this doesn't delete the journal item, this can only be completed from the Global Journal items list
- Live Items Synchronisation: Allows the synchronisation to Outlook contacts of the personal details (Name, Company, Job Title, Contact Details etc) of People Records that you mark in Invenias as Favourites.
- Bulk Import via CSV: Allows Invenias users to bulk import People Records using the Essentials Bulk import tool.
Off Limits
- Modify Off Limits Settings: Allows a user to set and modify off limits for all records regardless of who the Record Owner is
- Modify Off Limits Settings as Owner: Allows a user to only set and modify Off Limits for records where they are the Record Owner. The user has to be the Record Owner at the point that off limits is set to be able to disable them in future
- Modify Off Limits for Placements and Invoices: Allows a user to only set and modify off limits for records via the Placements and Invoices Wizards.
Data Output
- Print & Export Data: Allows the user to export and print information from list views in the product
- View Reports: Allows the users to access the reports tab, and run reports. This includes the ability to print reports
- Publish & Remove Reports: Create new reports, duplicate or delete existing reports
- Use Excel Add-In: Allows cached Invenias users the ability to use the Invenias Excel reporting add-in.
Templates
- Create User Templates: Allows the user to create email/mail merge templates for their personal use
- Publish Global Templates: Allows the user to create email/mail merge templates which the whole company can see and use.
System Customization
- Access System Preferences: Allows the user access to system preferences. Please note that this is intended for system administrators, as users can make integral changes to the database settings
- Create System Views: Allows the user to create list views that the whole company can see and use
- Create User Views: Allows the user to create list views that only they can see and use.
Data Privacy
- Edit Data Privacy Record: This permission allows the User to make changes to the settings and configuration of the central Data Privacy Record, accessible to all users from the Invenias tab in Outlook
- Edit Data Privacy Settings on Company and Assignment Records: This permission allows a user to Edit the Data Privacy settings for Company, Company Location and Assignment Records. Consent can be enforced for candidates who reach a certain Progress Status. Click here for more information on this feature
- Delete a Person Under the Right to Be Forgotten: This permission allows a user to delete a Person Record using the Right to Be Forgotten.
- Use AI Assistant: This permission allows the User to access the AI Assistant feature to generate content with AI, based on your Invenias data.
