Managing Notes in Bullhorn ATS
Use notes to log important details, capture client or candidate feedback, and maintain a complete history for any record in Bullhorn ATS. These notes can be a private record of your actions or shared with teammates to ensure everyone stays aligned.
This is automatically available in Novo. S-Release requires a separate enablement for Quick Notes at no additional cost.
Common Scenarios for Adding Notes

How to Add a Note
Follow these steps to add a new note to a record, such as a candidate or contact, and ensure you capture all the necessary details.

From the record you want to add a note to, navigate to Actions > Add Note.
S-Release: You must use the Notes tab from the list view's preview slideout. -
In the Comments field, begin typing the contents of your note:

To tag a specific user or a distribution list, type the "@" symbol, then begin typing their name. Select the correct user or list from the dropdown that appears. Tagging a user sends them an email notification.
Note: Only people that have a record in Bullhorn (ex. candidate, contact, lead) can be tagged. -
To reference a specific job, opportunity, or placement record, type the "#" symbol, then begin typing the record’s name. Select the correct record from the dropdown.

From the Note Action dropdown, select the note type (e.g., Email, Internal Memo, Phone Call).
- Add any Additional References as needed.

Under Schedule Next Action, select the applicable action.

Select Save to lock in your note.
Your new note displays on the record's Notes tab and in the record’s preview slideout. The @ and # references will appear as clickable links, so you can quickly navigate to the referenced records.
How to Edit an Existing Note
If you need to make a change or correction, you can easily alter and re-save an existing note.
From the record, go to the Notes tab.
Select the Actions dropdown to the left of the desired note and click Edit.
The Edit Note window will appear, allowing you to make your changes.
When editing a note with @ or # references, the references are shown in the Additional References field. The main Note field will only display the standard text. The references will remain clickable links as long as the note's text is not altered.
After making your changes, select Save.
Access Note Drafts
Note drafts save only from the Notes tab within a record, not from the preview slideout. They save after anything is added to the note, such as: comments, about, additional references, note actions, etc.
Note drafts are stored in your computer's local cache. If you clear your browser's cache, you will also delete any unsaved note drafts. Always save your notes before clearing your cache.
- From the record, select Actions > Add Note.
- From the Drafts drop down, select the note draft you were working on.
- Continue to make changes until you're ready to save.
FAQs
Q: Why can't I paste a chart, image, or other rich text into a note?
A: The notes section in Bullhorn doesn't support HTML. This means you can only paste plain text, not charts, images, or other types of rich text formatting.
Q: Can I share a note with a colleague?
A: Yes. Use the "@" symbol to tag a colleague within the note. This will send them an email notification with the note's details.
Q: What is the difference between a Note and a Task?
A: A note is a permanent record of an event or action that has already occurred. A task is a to-do item that you schedule for the future. You can create a task directly from a note to follow up on a logged conversation.
Q: Can I add a note to a job record?
A: Notes are primarily added to records (Candidates, Contacts, and Leads). When you add a note while viewing a job record, it is automatically associated with the appropriate contact and is then displayed on both the job record's preview slideout and the contact record.
