Configuring the AMS MultiWorkflow

​AMS Multi Workflow provides the ability for recruiters to define specific workflows for specific jobs. The Grouping enhancement also allows workflows to be available based on job function, department and location. Instructions for both of these enhancements are included below.

Setup

Must be completed by System Administrator.

  • Open any Job Order and click on Edit Layout.

  • Click on Buttons and drag the Select Application Workflow button into the Custom Button Section.

  • Save the changes.

'Activate' the Workflow

  • Click the Select Application Workflow button.

    • Any workflow which is available for the Job Order will be listed in this dropdown. This includes all workflows which match the job order's job function, department, or location and whose workflows have been saved with those attributes.

    • Additionally, all job orders without any functions, departments, or locations saved are considered available for all job orders and will be listed.

  • To create a workflow, click New Workflow.
    A popup screen will appear and ask you to provide the workflow a unique name and the functions, departments, and locations which should be able to view this workflow in the future.

    Example: To make the workflow available to every job in the Development Department, set the Job Function and Location fields to None.

    • The workflow defaults to the standard Jobscience workflow. Stages can then be removed, or additional stages can be added above or below by clicking on the stage you would like to edit. Available stages to be added will be any previously removed stages as well as Custom Stages 1-5.

      Note: The Application Stage is the only stage that cannot be removed or moved as many Jobscience functions and triggers rely on the Application stage.

  • Click Save.

    • The name of your workflow will be selected. Click Apply Workflow.

      Note: Any active applications within the job order will be reverted to the first stage within the workflow selected. The system will remind you of this and you must click OK to confirm this change.

  • Click Close once you see the confirmation message.

    Depending on the size of the job order it may take a moment to revert all the applications, but once the confirmation message appears the workflow has been applied.

    Note: To view which workflow is assigned to the job order, click Edit Layout and drag the Application Workflow Link field onto the Job Order. Do not drag the Application Workflow field onto the layout as it can cause erratic behavior if edited.

  • To select a pre-existing workflow, pick it from the dropdown and click Apply Workflow.
    The popup will close and the workflow will be assigned.

  • To delete a selected workflow and revert to the default, select "None" and click Apply Workflow.
