Export Management

Learn how to export emails, SMS messages, and record data when someone requests their personal information from your system.

To use the export features in this article, your organization must have GDPR or CCPA Support enabled. Contact Bullhorn Support to request enablement.

Before You Begin

You'll need Admin-level access to export emails and SMS messages from candidate, lead, or contact records. If you don't have this access, ask your Bullhorn Admin to complete the export on your behalf or contact Bullhorn Support to enable access.

About export formats:

Emails and SMS messages export as text files. For a complete record export in CSV format, use the standard export function available in list views—see Exporting Data from Bullhorn for steps. You can also customize which columns appear by adjusting your View Layout.

Export Emails

You can export inbound emails associated with a candidate, lead, or contact record.

Outbound emails are not included.

  1. Go to the candidate, lead, or contact record.

  2. Click the Actions dropdown and select Export Emails.

  3. Select a location on your computer to save the file.

  4. The export will download to your chosen location as a text file.

Export SMS Messages

You can export inbound SMS messages associated with a candidate, contact, or lead record.

Outbound SMS messages are not included.

  1. Go to the candidate, lead, or contact record.

  2. Click the Actions dropdown and select Export SMS Messages.

  3. Select a location on your computer to save the file.

  4. The export will download to your chosen location as a text file.

FAQ

Why can't I see the Export Emails or Export SMS Messages options?

These options appear only if your organization has GDPR or CCPA Support enabled. Contact Bullhorn Support to verify this entitlement is active for your account.

Are outbound emails and SMS messages included in the export?

No. Exports include only inbound emails and SMS messages. Outbound messages are not exported.

Can I export a candidate's resume along with their emails?

Yes. Download the resume from the candidate's file attachments, then export their emails separately. Bundle both files together when delivering to the candidate.

What format are the exported files?

Emails and SMS messages export as text files (.txt). For a complete record export with all fields, use the CSV export feature available in list views.

Should I export other record information?

If someone requests all their data, also provide a CSV export of the record itself using the standard export function in list views. This ensures they receive a complete picture of the data you hold about them.
