Allocate OT

Overview

Allocating OT allows an administrator the ability to re-allocate the distribution of overtime (OT) hours between departments for an individual employee.

Although the distribution of the overtime hours may shift, the overall totals may not change.

For best results, use Allocate OT during the period close process.

Steps

  1. Select a time card with OT allocations that are split between two or more worked departments.
  2. Inspect the information captured in the Dpt (department) column for details.

    • In this example, the employee worked in Department 6, Department 5, Department 4, and Department 3 for the week.
  3. Select Allocate OT to begin redistributing the allotments of OT between worked departments.



  4. After the Allocate OT window launches, you will be able to see a breakdown of regular (Reg) and weekly (Wkly) hours for the employee selected.



  5. When making adjustments, the total amount of OT applied to the employee's time card must be the same before and after any re-allocations.
  6. For best results, make OT deductions first. Then, add the deducted amount to a work segment in a different department.
    • In this example, we are moving 3.10 OT hours for Thursday from Department 6 to Department 3.

  7. After making adjustments to the hours, click Submit to save your changes.

  8. Before clicking Submit to save, be sure that the Weekly OT Total is the same value before and after making adjustments. You will not be able to proceed if the totals are different.

  9. After pressing Submit, the Allocate OT window will close. The employee's time card will reflect the adjusted OT allocations.



  10. The employee's time card will become locked after using Allocate OT. If you find that you need to make further adjustments to the time card, select Unlock Week and proceed with any further adjustments.
