Mass Entry

Overview

As an administrator in Bullhorn Time & Expense, you may have the ability to perform Mass Entry on time cards. This tool allows a user to quickly enter time for a group of employees at once. Mass Entry works by inserting a total number of hours for a particular day.

You cannot use Mass Entry to specify work start time, work end times, or break details.

Steps

  1. After selecting a group or branch, navigate to Tasks > Mass Entry.



  2. If needed, you can change the work site by using the Site drop down menu.
  3. Select the correct day of the week from the Day drop down.
  4. Choose the hours type from the Adjustment Type drop down menu.
  5. The default selection is WORKED, but you may choose another option if needed.
  6. If you need to change the department, click Edit in the Change Dept column to make a different selection.

Enter Individual Time

  1. If you need to enter different worked hours for employees, enter those hours in the Adj column in a HH:MM format.
    • You must enter the number of hours and minutes worked.
      • Example: If an employee worked 6 hours and 36 minutes, you should enter 6:36.
      • If an employee worked 7 hours, you should enter 7:00.
  2. When you're done entering time, click Submit at the bottom of the page.



  3. After you submit your adjustments, confirm the action.

The initials of the administrator taking action will be recorded on the employee's time card.

Apply Prefill

If you need to enter the same amount of time for a group of employees, use Apply Prefill.

  1. First, click Apply Prefill at the bottom of the page.
  2. Enter the correct number of hours you want to apply in the Prefill Hours field.
    • Remember, hours must be entered in a HH:MM format.
    • To enter a prefill of 5 hours and 42 minutes, you should enter 5:42. For a prefill of 3 hours, you should enter 3:00.
  3. Select a Prefill Option:
    • Only Apply To Employees That Have Hours For The Week.
      If you select this, the only employees that will receive the prefill are employees with hours recorded for the week. Employees with 0 hours will be excluded from this prefill.
    • Only Apply To Employees That Have NO Hours For The Week.
      This option will apply the hours adjustment you entered to only to employees with no hours recorded for the week. Employees with recorded hours will not be included in this prefill.
    • Only Apply To Employees That Have Hours For The Day.
      The only employees that will be included in this option are employees that have hours recorded on the day selected at the top center of the Mass Entry screen. The prefill will skip employees that do not have any hours recorded for that day.
    • Only Apply To Employees That Have NO Hours For The Day.
      This prefill option will include only employees with NO hours recorded on a particular day. Employees with hours recorded for the day are excluded in this prefill option.
    • Prefill All Employees.
      This option applies time to all active employees. No exclusions based on worked time for the day or week are considered.
  4. After you choose a Prefill Option, click Apply Prefill.



  5. After confirming the prefill, review the list and ensure that hours have been applied as needed in the Adj column.



  6. If everything looks ok, click Submit.
  7. After you confirm the action, the prefilled hours will apply to the time cards you selected.

Like most other manual adjustments, the initials of the administrator taking action will be recorded on the employee's time card.
