Managing Placement Activity

You may want to implement stricter guidelines for how your users add and edit placements. Bullhorn offers two functionalities to help you do this: placement approval and change requests.

Approving and Rejecting Placements

Once a user creates and submits a placement, an approver must set the placement status to Approved or Rejected. If a placement is rejected, the user can edit it and resubmit it for approval.

Approvers follow these steps to approve or reject a placement:

  1. On the placement record, select the Edit tab.

  2. From the Status drop-down, select Approved or Rejected.

  3. To notify the user that the placement was approved or rejected, enter their name in the Email Notification field.

  4. Click Save.

Only users with the "Placement Approval" permission can edit an "Approved" placement.

Approving and Rejecting Change Requests

Bullhorn's change request feature lets your users propose edits to an approved placement so a supervisor can review the edits before they're applied. If a user's edits don't require review or approval, they can edit the placement directly instead of submitting a change request.

Bullhorn tracks all approved change requests and direct placement edits on the placement's History tab. It tracks all change requests, regardless of status, on the placement's Change Requests tab. You and your users can also view and edit change requests on the Change Request List.

By default, your company allows only one open change request per placement at a time. If a user doesn't see the option to submit a new change request, an existing request is likely still pending. Contact Bullhorn Support if you want to allow multiple open change requests per placement.

Submitting a Change Request

Users follow these steps to submit a change request:

  1. On the placement record, from the Actions drop-down, select Add Change Request.

  2. Fill in the Request Type, Request Status, and Effective Date fields.

  3. Edit the rest of the information as necessary.

  4. To notify the approver(s), enter their name(s) in the Email Notification or Distribution List field.

  5. Click Save.

To retract a change request, change its status to Withdrawn. This doesn't delete the change request or hide it from the approver.

Approving or Rejecting a Change Request

Approvers follow these steps to approve or reject a change request:

  1. On the placement record, select the Activity tab and expand Change Requests.

  2. Click the expand icon next to the change request you want to review.

  3. Select the edit icon.

  4. From the Request Status drop-down, select Approved or Rejected.

  5. To notify the user, enter their name in the Email Notification field. If the change request was rejected, consider having the approver follow up with the user to explain what needs to be updated.

Setting Up Automatic Placement and Change Request Email Notifications

Users can send an email notification to specific individuals or distribution lists when they submit a placement or change request.

To have a notification list appear automatically for every placement and change request, create a public distribution list and set its type to Internal - Placement.

If your company doesn't always notify the same people, instruct your users to create a private Internal - Placement distribution list instead.

Placement Change Request List

The Change Request List shows all placement change requests for your company, including requests awaiting approval and requests that have already been approved or rejected. The list acts like the other list views within Bullhorn and supports filtering, searching, and saving favorite searches.

By default, the Change Request List is named "Change Request List" and appears in the Home menu. You can rename it under Tools > Entity Titles.
